Booking terms and conditions

1. Booking & Payment
Your place on the retreat is confirmed once payment has been received.
You may choose to:

  • Pay the full amount at the time of booking, or

  • Pay a 50% non-refundable deposit to secure your place.

If you choose the deposit option, the remaining 50% balance is due no later than 6 weeks before the retreat (8 May 2026).
We will manually send a payment link to the email address provided to request the remaining balance on 1st May. 
Failure to pay the remaining balance by 8 May can result in your place being cancelled and your deposit being lost. 

2. Cancellation Policy
If you cancel:

  • The 50% deposit is non-refundable.

  • If you have paid in full and you cancel more than 4 weeks before the retreat (before 8 May), you will receive a refund minus the 50% deposit. 

  • If you cancel within 4 weeks of the retreat (on or after 8 May), the full amount is non-refundable. You will not receive any refund.

  • You may transfer your place to another person but are required to contact Polestice in advance with the details of the transfer.
     

Shared double room package
If you are coming with a friend, you may choose a shared double room package. This means you both agree to attend the retreat. 
If one person cancels more than 6 weeks in advance of the event, the package will be adjusted to a private double room for the remaining guest. 
If you booked on a deposit basis, the entire deposit will be kept and the remaining party will be responsible for the outstanding £250 for the charge of a private double room, which is £1195. 
If the full payment was paid upfront, the parties will be refunded the difference between a shared double and private double (£695).

3. Changes by us
We reserve the right to make minor or unavoidable changes to the schedule, accommodation, instructors, or activities where necessary.
If the retreat must be cancelled by us due to unforeseen circumstances, you will receive a full refund of any payments made. We are not responsible for any travel or personal expenses incurred. 
We reserve the right to cancel a retreat if a minimum of 8 dancers is not met. If the minimum amount is not met and the retreat does not proceed, all payments will be refunded. 

4. Health & Participation
By booking, you confirm that:

  • You are physically able to participate in pole and movement-based activities.

  • You will inform us of any injuries or medical conditions in advance by filling out the appropriate PAR-Q.

  • You understand that participation is at your own risk.

We recommend arranging appropriate travel insurance to cover cancellation, illness, or injury.

5. Liability
We accept no responsibility for loss, theft, or damage to personal belongings during the retreat.

6. Accommodation & Inclusions
Your retreat package includes pole workshops, accommodation and scheduled retreat activities as outlined at the time of booking.
Food and transport are not included unless explicitly stated
